These ideas are also environmentally friendly and lessen the carbon footprint of the workplace. # Three Ways to Lower the Costs of Operating Office Photocopiers While the digital age arrived years ago, many workplaces still rely upon photocopiers to create and distribute important documents. However, some offices have actually seen a rise in use of paper and toner even with email, text messaging and other electronic solutions. Creating these automatic settings also takes the burden off employees from having to do so on each of their print jobs. If an employee truly needs single sided printing, he or she will have to purposely make an adjustment. ## Update Office Policies If members of management and the staff are used to bringing "hard" copies of documents to meetings or for use while editing, explain that the goal is to use less paper by going electronic. Editing can be done electronically with changes performed in different colors by each user. Since most office environments include a tablet or smartphone for each staff member, they can bring these and view the documents on screens during meetings, rather than printing physical copies. Make sure that any printed pages are recycled or shredded and then recycled, rather than tossed into a refuse bin. ## Preventive Maintenance Regular maintenance is essential for the proper performance of any machine, including photocopy machines. Take the time to schedule regular cleanings and tune-ups of the copy machine. Depending on how heavily the photocopier is used, this may need to be done once per month or once a year.
